Assign your allocated master's and doctoral lines as they were assigned to you.

Renewed Students:

  • Must have a cumulateive GPA of 3.0
  • Cannot have incompletes at the time of offer
  • Cannot exceed eligibility of years of funding
  • Must be registered full-time in graduate-level courses while receiving funding

Graduate Student Funding Procedures




Access forms and documents for use in Fall and Spring appointments. These include:

  • Terms and Conditions for Employment
  • Terms and Conditions for Tuition Scholarship
  • Offer Letter for New and Renewed Students
  • Confidentiality Statement
  • Appointment Letter
  • ABD Policy

NOTE: You MUST use the offer letter templates for all your GA and TA stipend offers, whether department funded or Graduate School funded. Do not change the wording on the template letters.


Submit Clark Fellowship nominations. See the Clark Fellowship page for more information.


All GA and TA offers should be made and accepted by students.


Complete all GA and TA appointments.

Post all tuition allocations, student B-Numbers and appointments to the "GATA Data Elements needed for Graduate Office" area of the smart form and the comments area of Grad Link.

Research Foundation Appointments Requesting Tuition: All tuition allocations for current grants must be posted to Grad Link by June 30. Tuition allocation dollar amounts that have been "set aside" for anticipated grants for the upcoming academic year should be reported by then as well.


Review your allocations for stipend and tuition in the Grad Link reporting area.

The Graduate School will compare actual allocations disbursed to departments with department stipend and tuition allocations posted to Oracle and Grad Link. Any balance will be redistributed by The Graduate School in July.


Complete Labor Distribution in Oracle for all GA and TA funded students by the first day of classes.

First Year Students: In order to apply for residency this time next year and receive tuition at the in-state rate, domestic students who are not NYS residents should apply for several of the following items before the first day of classes:

  • NYS Driver's License
  • NYS Lease/Land Deed
  • NYS Car Registration
  • NYS Voter Registration Card
  • NYS Bank Account

Second Year Students: Domestic students who seek residency for tuition purposes should go to the Student Accounts office to apply for residency with Brent Ochiai before classes begin. The residency application can be found on the residency section of the Student Accounts website.

Funded Full-Time Certification: Funded Full-Time Certification forms for those students who are ABD and will register for 1 credit are due by August 15.


Check Oracle accounts for GA and TA payroll charges to make sure students are being charged to the correct accounts.
