Given the University's commitment to being paperless, The Graduate School, with the help of IT Services, has transitioned to a fully electronic admissions system. Applications and credentials are now processed electronically using the following procedures, systems, software and databases.

Once an applicant has successfully submitted a graduate application and paid the application fee online, the application will appear in EGADS for the academic department to view.
The academic department will conduct a thorough review of the applicant's admission materials, which include all materials required by The Graduate School as well as any additional materials required by the academic department. The academic department, as well as The Graduate School, may communicate with an applicant about missing, incomplete or additional materials needed to render a final admission recommendation.
The academic department will make a recommendation of admission to The Graduate School for final review and approval, as well as issuance of an admission decision.
Once The Graduate School renders a final admission decision, The Graduate School will communicate the decision to the applicant via e-mail and official letter. The academic department may view the status of an applicant via EGADS and/or Banner.
Reminder about international admitted students: In order for The Graduate School to process the official admission decision, an international student is required to provide financial certification/proof of financial support. This may delay a department's ability to see an applicant in EGADS as "Admitted." In many cases the applicant's status displays as "Provisional" until the documentation has been received. It is essential for such applicants to provide the required financial certification/proof of financial support in order to receive an official regular admission letter that they can use to obtain their required travel documents. If your department offers funding to an international applicant (whether at the time admission is offered or after), send a copy of the funding letter to the attention of Graduate School Admissions so that it can be used toward certification of funds.
The School and/or academic department may then communicate additional details to the applicant via e-mail, letter or phone.
The Graduate School, as well as other campus offices, will continue to send official communications to admitted students via a new student's Binghamton University e-mail account (BMail). This is the University's official method of communication with all students.
Banner serves as the primary student information system at Binghamton University, offering enhanced access to student and University records, from transcripts to course information. To request access to Banner or learn about Banner training sessions, visit the Banner homepage.
The web application EGADS, or Electronic Graduate Admission Decision System, offers graduate directors and faculty access to all application-fee-paid applicants for a selected term. Authorized users can log in with their PODS UserID and password to search, sort, comment on and view applicants' electronic credentials. Departments also use EGADS to submit admissions decisions.

Application material is uploaded and electronically indexed through Xtender to become part of the applicant's Banner record. Authorized users can access Xtender through EGADS, using their PODS passwords. To request an Xtender account, contact the Assistant Dean of Admissions and Recruitment in The Graduate School.
Omni Update serves as the University's web content management system. The Office of Communications and Marketing has been working diligently to help offices, departments and programs migrate their Binghamton University websites in order to enhance provider productivity and ensure integrity. The University Center for Training and Development offers regular Omni Update training and user group sessions.
Gradlink is the online portal through which funded student reports only are published. For more information on graduate student funding procedures, go here.
Hyperion, a web-based reporting tool, queries from the ODS database (updated daily through Banner) in order to provide current reports on applicants and admitted and enrolled students.
To access the database, as well as reports created and published by The Graduate School, you must: 1) attend a training session through the University Center for Training and Development, and 2) request access to The Graduate School's custom admissions reports.
Please note that EGADS and Xtender do not replace Hyperion reports. EGADS and Xtender offer access to application material but are not reporting tools. Continue to use Hyperion to access reports on application progress, materials received, test scores, etc.
All campus units, including The Graduate School, have to comply with the ITS Information Security Policy and Procedure and the Family Educational Rights and Privacy Act (FERPA). Data from The Graduate School's databases and software should not be printed or transferred to hardcopy. In order for graduate programs to review applications, The Graduate School acquires special permission for faculty and staff to access electronic files. In turn, The Graduate School asks graduate programs to respect the conditions of that access.
