Program’s Requirements/Agency/Site Responsibilities

Agencies are asked to return all evaluation forms, updated descriptions, and other items as requested.

Agencies contribute to the grading process by completing two written intern assessment forms provided by OCC during the course of the semester.

Participating agencies are requested to interview acceptable applicants prior to the beginning of each semester and to abide by University Equal Access Policy when selecting from applicants. The University/OCC does not screen candidates for compatibility for a particular position. OCC believes the host site is in a better position to make judgements regarding which candidates will meet the needs and expectations of the site.

OCC regards the application process and procedure to be an important part of the learning experience for our students. Interviews are an especially important part of this process. In keeping with University Equal Access and Affirmative Action guidelines, it is very important that participating agencies and organizations conform to a common standard of deadlines, notification, and selection procedures.

Following is a summary of the process we would like host organizations to use when working with our intern applicants:

Application materials from interested students are sent to host sites after the application deadline. We ask that you call students whom you are interested in and arrange interviews during the specific interview period (these dates are included with student applications).

Please do not interview students BEFORE our application deadline.

It is very important that students be interviewed on site.

Agencies are not required to interview every applicant.

Please help us eliminate awkwardness by letting us notify students about their acceptance into the program. Occasionally, we will not agree to continue a student in the program. Students may also feel pressure to respond inappropriately to an offer before they are really certain what they will do.

If there are prerequisites to a student working at your site (e.g. medical or security clearance) we appreciate you advising each applicant during the interview so that all applicants are aware of the requirements. At that time they may advise you if they anticipate any problems meeting the requirements for the position, or elect to seek alternate positions.

OCC reserves the right to decline to place a student in a particular position.

Internships are to start during the first week of classes each semester. Placements that cannot meet this requirement must be discussed with OCC, PRIOR TO THE BEGINNING OF THE SEMESTER.

Many of our students have complicated schedules, balancing many personal, work, and academic challenges. With this in mind, we ask that agencies not have students spend MORE than 12 hours per week at the site.

The University/OCC relies upon the agency to provide any orientation and training required for the student to safely and adequately perform the responsibilities assigned by the agency and to otherwise meet the expectations of the host site.

Binghamton University students have proven to be very responsible, but do best with frequent and appropriate supervision, especially during the first half of the semester. Also, it is important that students receive frequent and constructive criticism about work habits and performance. We realize it is not always possible, practical, or desirable for professional staff to work directly on an hour-to-hour basis with the students, but we do request that agency supervisors schedule a weekly one-half to one hour meeting to discuss student work and progress. OCC relies upon the agency to provide the necessary level of supervision required for the particular duties the student is assigned at the host site.

Transportation for agency-related business may be requested but NOT required. Students are responsible for their own transportation to and from the agencies.

Agency personnel should be available during the first week of the semester to get students off to a good start and to sign students learning contracts. This is very important because students are not registered until contracts are signed and returned. If you cannot be available, please ask someone else in your organization to sign the contracts.

Please contact us immediately about any problems involving student attendance or performance. Decisions about terminating a student’s internship must be made in consultation with OCC.

In the event you would like to remove a student from the program, please advise the OCC office or the student=s faculty mentor so that we may assist the site and/or the student, and address the issues giving rise to this decision.

The site should provide accurate and up-to-date site descriptions and specific internship responsibilities/requirements. The OCC internship descriptions are based solely on the agencies= submitted descriptions/paperwork.

Sites are to provide liability insurance for students, as they would for any volunteer at their organization. The University does not provide insurance for sites or for students.

Student Responsibilities:

Students should ask descriptive and informative questions during the interview of the prospective internship site(s) to determine compatibility of the site and intern.

Students must attend an OCC orientation session prior to beginning their placements.

Students are required to attend a weekly one-hour class.

Students are required to spend a minimum of eight hours and a maximum of 12 hours per week at their agencies. Hours are not accumulated--this is a weekly obligation. The semester=s total should meet a minimum requirement of approximately 120 hours. Many students choose to VOLUNTEER additional time, but agencies may not require more than 12 hours per week. Most students will find that 10 hours per week best meet their requirement.

Students are responsible for making appropriate arrangements for school and religious holidays.

Students should report any lateness or absences in a prompt, professional manner.

Arrangements should be made to replace any missed hours.

Students MUST maintain professional standards of confidentiality regarding matters pertaining to their internship experiences.

Students are expected to follow the highest standards of academic honesty and integrity. As with all academic undertakings, cases of dishonesty, whether involving a host site or faculty assignment, will be referred to the Academic Honesty Committee.

Health and accident insurance is the individual student=s responsibility. Student=s personal injuries or health related matters are not covered by the University.


University Responsibilities:

A Binghamton University Off Campus College faculty mentor is responsible for grading students.

OCC office assigns students to a faculty mentor.

OCC provides a brief, mandatory orientation for all students at the beginning of each semester.

OCC provides all required forms and instruct students how to return them.

OCC reserves the right to make all final decisions regarding placements and termination of student interns.

OCC provides staff to review and monitor all matters pertaining to the program.
