Shredding Week to address disposal of sensitive information
The week of Dec. 15 has been designated as Shredding Week for the campus, during which all offices are asked to review hard-copy files to determine if they contain sensitive information.
Files found to contain sensitive information — defined as information that can be tied directly to an individual and could put his or her identity, financial well-being or reputation at risk — should be disposed of properly.
Proper disposal of confidential information includes placing the information in a shredding lock bin, found at various locations on campus, or shredding the information and placing it with recyclables for collection.
A list of current lock bin locations can be found at http://facilities.binghamton.edu/confshred.htm. Additional lock bins can be requested by contacting Peter Napolitano, director of auxiliary services, at firstname.lastname@example.org.
In addition to helping the campus meet federal and state mandates to protect confidential information, Shredding Week will “create a partnership between staff/faculty/students to promote sustainability and reduce the amount of material that ends up in the landfill,” said JoAnn Navarro, associate vice president for administrative services. “It will also make more efficient use of our limited space on campus.”
A sampling of documents which may contain sensitive information includes time records, travel requests, grade reports and old student class lists. The SUNY Records Retention Schedule that addresses student records is being updated, but questions on it can be directed to the University archivist, Yvonne Deligato, at email@example.com.
Those not able to participate in Shredding Week during the week of Dec. 15 may also request a confidential shredding lock bin at another time by contacting Napolitano.
