E-Time FAQs

  • Who is required to use E-Time?

    All Research Foundation employees (with the exception of salaried graduate students and faculty collecting summer salary) are required to use E-Time for completing their timecards.

  • How do I complete my timecard?

    Please review the guides and demonstrations linked at the top of this page for detailed instructions on how to access Employee Self-Service and complete timecards within E-Time.

    For Non-Exempt Employees (Salaried and Hourly)

    Times must be logged in HH:MM format, include AM or PM indicators, and be rounded to the nearest quarter hour increment (i.e., 08:00am or 12:30pm).
    For any shifts where an employee is working more than six hours, an unpaid meal break of at least 30-minutes must be taken and this break in work must be reflected on their timecard.

    For Exempt Employees

    Exempt employee timecards are completed as leave records. Employees are only required to record their time away from work during their normal work schedule on their timecards. One full day away from work is logged as 1, while partial days away from work are logged in quarter day increments (i.e., .25, .50, .75).

    If no time away from work was taken during a given month, the blank timecard must still be submitted for our timekeeping records.

  • How often am I required to complete a timecard?

    For Non-Exempt employees (both salaried and hourly), a timecard must be completed every two weeks following the end of a pay period (payday) recording time worked during that period.

    For Exempt employees, a timecard must be completed at the end of each month logging all time away from work. If you did not take any time off in a given month a blank timecard would still need to be submitted and approved.

  • Why is it important to submit my timecards on time?

    Late timecard submissions can result in employees being paid incorrectly, having inaccurate PTO accrual balances, and other issues.
    For Hourly employees, timecards must be submitted and approved by their supervisor in time for our processing deadlines to be paid on the upcoming payday. Late timecards will not be processed for payment until the next pay cycle.

  • When will my Holiday PTO accrual populate?

    Holiday PTO accruals do not populate until the date of the holiday. Once the holiday has arrived, the Holiday PTO accrual will be reflected within your PTO balances and available for use on your timecard.
