Room RSVP and resource request

Campus departments, S.A.-chartered organizations, recognized student and Greek-letter groups, faculty, and staff can reserve MRC space for meetings and events by submitting an MRC Room Reservation Request.

Please submit your reservation requests at least one week prior to the event. You will receive a confirmation email within two business days.

To cancel a room reservation, please send a cancellation request to mrc@binghamton.edu with your room reservation confirmation attached. All cancellations must be made at least two business days before the reservation date.

Bartle Library Tabling and Tomb Reservations

The MRC offers table and tomb reservations and bulletin posting boards at the Bartle Library for faculty, staff, campus departments, S.A.-chartered organizations, GSO-chartered organizations, University-recognized student organizations, and Greek organizations.

  • Bartle Tabling Guidelines
    • Tabling cannot be reserved for personal use. Outside groups/vendors not affiliated with the University are permitted but must contact the Multicultural Resource Center (MRC) for approval at 607-777-4472 and may be assessed a fee.
    • Radios, stereos, or amplified sound of any kind is not allowed in the library due to classes and other library use.
    • During each semester, tabling is strictly prohibited during the first week of classes.
    • Tables may be reserved in the Bartle Library from the hours of noon – 4 p.m., Monday through Friday. There is no tabling outside those hours or any tabling on the weekends. Only one (1) table is permitted per group per day. Tabling may not be available on federal holidays, during university breaks or in the case of campus emergency. 
    • Reservation requests require a four-day turnaround time. Requests are processed Monday through Friday only. 
    • Tabling must be done through B-There (bthere.binghamton.edu) with an approved account. Tabling must be properly identified and described in the "Description/Title" section of the request form. Descriptive term options:
      • 1. Information Tabling,
      • 2. Bake Sale Tabling,
      • 3. Item Sale Tabling,
      • 4. Ticket Sale Tabling are acceptable, or
      • 5. Other.
    • If choosing one of the options to sell, you must include details on what you plan to sell.
    • If approved and you decide to make changes, you must contact, mrc@binghamton.edu within two business days of your reservation, to communicate the change. Failure to specify what you plan to sell in your request or groups that misrepresent their tabling event (by reserving an information/item sell table and attempting to conduct a bake sale) will result in an interminable loss of tabling privileges.
    • Cancellation Policy:
      • If cancellation for a reservation request is needed, please notify the MRC within two business days of requested tabling day via mrc@binghamton.edu,or by cancelling reservation on B-There. If you wish to make a change in the date of your tabling reservation you will need to cancel the reservation and submit a new request.
      • If tabling reservations are full, requestors will be given an option to be added to the waitlist. If an available spot opens up, the requestor will be given 24 hours to accept or the spot will automatically go to the next available requestor on the list. 
    • Item sales can include things like hats, mugs, water bottles, keychains, etc. Ticket sales are for tickets to university department or student organization sponsored events only. All other ticket sales should work with the University box office or Student Association directly.
    • When filling out the request form, you must clearly state in the event description box what you are selling.
    • Sales and distribution must abide by all Binghamton University’s policies and procedures. This includes selling or distributing illegal or alcoholic substances. The sale or distribution of illegal substances is expressly prohibited anywhere on campus.
    • Please note: submitting a table reservation in your organization’s name and then passing off to another group, without prior written approval, is grounds for losing your tabling privileges for the academic year. Those with repeat violations may lose privileges indefinitely.
    • Organizations scheduled for tabling must arrive to claim their tables between 11:45 a.m. - 12:15 p.m. Failure to arrive and claim a table by 12:15 p.m. will result in the loss of the tabling reservation for that day. No appeals will be granted, so please make sure you are on time. Organizations that repeatedly (three times) fail to claim their tabling may be subject to loss of tabling reservation privileges for the remainder of the academic year. 
    • For each day, there may only be up to three (3) bake sale tables, the remaining tables can be used for any of the other options.
    • Each individual or group tabling is responsible for cleaning their area after use.
    • In the case of cleaning needs or property damage, individuals and/groups will be held responsible for any and all cleaning and repair costs.
    • Vendors:
    • University recognized groups or campus departments may host an outside group/vendor with approval from the Multicultural Resource Center. The hosting group is required to pay a $75.00 vendor fee for use of a table in the Bartle Library. The vendor fee can be paid to the MRC Office Manager LS-G500 or DEI Secretary in LS-G548, payable to Foundation Account 50521.

  • Bartle Tabling Reservations

    Tabling reservations are made through the bthere.binghamton.edu system, with appropriate access levels.

  • Food and Beverage Policy
    • Please review the campus Food and Beverage Policy. The Bartle Library Food and Beverage Policy closely resembles the policy and guidelines created by the University Union and Binghamton University Dining Services (BUDS).
    • BUDS has exclusivity on food and beverages on all campus property except for Tabling events, those events under $200.00 and in the case where authentic ethnic food and support of local establishments is in the best interest of the University.
    • For proper food safety handling, review the Food Safety Guidelines provided by Auxiliary Services. 
    • Generally, all food and beverages served/catered in the University Bartle Library must be obtained from BUDS or their affiliates. Exceptions include "tabling events" in the Bartle Library Breezeway for the purposes of fundraising by student organizations.
      • Acceptable foods are defined as pre-packaged, low risk foods brought into the facilities by members of the sponsoring organizations for the purposes of resale. (Krispy Kreme doughnuts are acceptable to be sold for fundraising purposes via an approved Bartle Library Tabling reservation in the organization’s name and organization must choose a Bake Sale Table). Prohibited items include 'home-made' items such as granola bars, brownies, cookies, cakes, breads, fruit pies, etc. Any food items to be sold or distributed must be approved by the MRC and/or BUDS. For questions about food sale/giveaway approval, please email the MRC student managers at mrc@binghamton.edu.
      • Prohibited food cannot be given away for free from any table.
      • All food must be in complete compliance with local and state health department codes and adhere to safety and sanitations regulations.
    • Bake sales may only be held at table 5, 6, & 7 (see Tabling Map).
  • Bartle Tomb Guidelines
    • Tombs are reserved for one week at a time, from Monday morning to noon on Friday.
    • Once a reservation is confirmed, a confirmation email will be sent to the requestor specifying the request title, date, time, and location. You will also be encouraged to make an appointment to come and set up your tomb. After receiving a confirmation email, the requestor should make sure all information is correct when confirmation is received.
    • Cancellation Policy:
      • If cancellation for a reservation request is needed, please notify mrc@binghamton.edu within one week prior to reservation, or as soon as possible. Repeated failure to provide adequate notice may result in denials of future reservation requests.
      • If tomb reservations are full, requestors will be given an option to be added to the waitlist. If an available spot opens up, the requestor will be given 24 hours from the sending of the email to accept or the spot will automatically go to the next available requestor on the list.  Reservations will be solidified by the Friday before the reservation week.
    • “Standing” reservations (repeated consecutive reservations for the same event) may be denied.
    • Tombs cannot be reserved for personal use. Outside groups/vendors not affiliated with the University are permitted but may be required to pay a fee.
    • Tombs are intended for display only. For item, ticket, or bake sales, please reserve a regular table.
    • During each semester, tomb displays are prohibited during the first week of classes. Tombs may be reserved for one week at a time, Monday through Friday.
    • Reservation requests require a two-week turnaround time. Requests are processed Monday through Friday only.
    • Displays can be set up as early as 9 a.m. Monday morning during the reserved week. They must be dismantled by 3 p.m. on that Friday.
    • Organizations scheduled for tombs must arrive at the Multicultural Resource Center during open hours to have their tomb unlocked and locked again for set up or cleanup. Please remember to allow enough time to set up / clean up.
      • MRC business hours are as follows:
        • Fall / Spring: Monday-Friday, 10 a.m. - 4 p.m.,
        • Summer: Monday-Friday, 9 a.m. - 4 p.m.
    • The individual and group making the reservation will be responsible for cleanup by 3 p.m. on the Friday of the reservation week. Items left in a case after that time, may be forfeited / disposed of, and a cleaning fee may be assessed.
    • Individuals and/or groups will be held responsible for any and all repair costs for damages done in any requested area. Please do not sit on the tombs.
  • Bartle Tomb Reservations

    Bartle Library Tombs can be reserved via Library Tomb Reservations.

Bartle Bulletin Board Policy

  • General Use Boards
    • Must be for an event or program
    • Event/deadline date must be no more than two weeks in the future
    • Must be posted only once (duplicates will be removed)
    • Must not cover other postings (must be side by side, not stacked)
    • Must not be larger than 11” x 17”
  • Daily Events Boards (Sunday- Saturday)
    • Must be for an event
    • Must be posted on the appropriate day frame
    • Must be no more than two weeks in the future
    • Must have an event/deadline date posted
    • Must be sponsored by a university-recognized group, campus department or approved by the Multicultural Resource Center
  • Housing & Buy/Sell Boards

    The Housing & Buy/Sell Boards will be cleared on the first of every month

  • Large Posting
    • All large posting must be requested and approved through the Multicultural Resource Center
    • Must be larger than 11”x 17”, but no larger than 3’ x 4’
    • Must be for a special event or upcoming program
    • Must have the event/deadline date posted
    • Must be no more than two weeks in the future
    • Must be sponsored by a University-recognized group or campus department
