Operation Cleanup Jan. 5 - Jan. 9, Service Requests due Jan. 2
Facilities Management will conduct its annual Operation Cleanup from January 5 through January 9. During this period, we ask campus departments to make a focused effort to dispose of unwanted or obsolete items, including equipment, furniture, paper files, and other materials. To support this initiative, Facilities Management will provide, upon request, additional trash cans, dumpsters, recycling receptacles, and confidential shredding bins. Items may be sent to surplus for re-use or properly disposed of in accordance with University policy.
Please review and follow the guidelines below:
Identify items and request necessary approvals.
- Inventoried Assets: Review University Policy #401. If the item has a university asset tag, complete a Transfer/Disposal of Equipment Form (Form A). Submit only one form per room, listing all the assets to be disposed of on the one form. Visit the Office of Asset Management website for more information.
- Electronics: Review University Policy #302 and the Electronics (e-Waste) Recycling Program webpage.
- Records: Confidential, private, or sensitive files should be disposed of only in locked confidential shredding bins. Consult University Policy #900 and the Record Management Guidelines before discarding any records. If you are the Office of Record, you must complete a Records Management Destruction Report. Contact the University Record Management Officer with any questions. Records of potential historical or research significance should be transferred to University Archives.
- Laboratory Equipment: Review the Laboratory Equipment Decommissioning Procedure and complete the Laboratory Equipment Decommissioning Form.
- Hazardous Materials: Facilities Management does not remove hazardous materials. Refer to Hazardous Waste page on the Environmental Health & Safety website.
- Digital Files: Although not part of Facilities Management’s services, we encourage departments to take this opportunity to also review and clean up electronic files on network and Google drives. Records management guidelines (see above) also apply to digital records. Storing data impacts the environment and uses a significant amount of energy and water. By deleting unnecessary data, you can help the University save resources and reduce its carbon footprint. Additional information can be found in this ITS Knowledgebase Article.
Submit a service request by Friday, January 2.
- Include “Operation Cleanup” in the short description.
- Specify the description and quantity of items/materials and the pickup location.
- Attach a picture of the items.
- Note any required utility disconnects for equipment removal.
Prepare items/materials for pickup.
- Tape an “Operation Cleanup – WO [######]” tag to all items. Untagged items will not be removed.
- Tape a Laboratory Equipment Decommissioning Form and/or Transfer/Disposal of Equipment Form (Form A) to all items as required. Items requiring these forms will not be picked up if the required forms are not taped to them.
- Separate and sort recyclable materials (paper, cardboard, glass/metal/plastic) and universal waste (batteries, intact mercury-containing light bulbs, & toner/ink cartridges).
- Move items/materials to the loading dock (preferred) just before January 5, or to
the hallway on the morning of January 5.
