Advanced Shipping of Materials
There are no opportunities to ship marketing materials directly to Binghamton University prior to the workshop. Vendors are strongly encouraged to work with their hotel to make arrangements for pre-arrival shipments. If assistance is needed transporting the materials from the hotel to the venue please reach out to oem@binghamton.edu to discuss options.
Tabling Set up / Break down
Vendors will have access to the venue beginning at 7:00am on January 16 to set up their display table. Attendee registration opens at 9:00am and vendors are strongly encouraged to have their displays set up by this time.
Vendors should not break down their displays before 1:30 on Friday, January 17. Displays must be broken down and removed from the vendor space no later than 5:00pm.
Logos
High resolution logos should be emailed to oem@binghamton.edu. The file must be formatted as a JPG, PDF, GIF, PNG or TIFF. This file must be submitted on later than 14-days prior to the workshop.
Complimentary Registrations
Space at the workshop is limited and vendors will be limited to the number of attendees as specified in the Vendor Sponsorship Opportunities form. Additional attendees will be required to register as attendees.
Complimentary registration includes access to all presentations, meals, and breaks with the exception of the networking reception event on Day 1.
Can I come to the networking reception?
The networking reception on the evening of Day 1 is a sponsored event. To respect the sponsor, only invited guests and representatives from that company may join the attendees at this event.
1-Page Attendee Digital Handout
If your sponsorship level includes the ability to share a 1-page digital handout to the attendees, this must be submitted no later than 14-days prior to the workshop. The preferred file format is PDF and may be emailed to oem@binghamton.edu.
Speaking Opportunity
If your sponsorship level includes a brief speaking opportunity you must make all logistical arrangements with Binghamton University's Office of Emergency Management no later than 14-days prior to the workshop. Logistical details include technology needs, distribution of handouts, etc. The workshop will be running on a tight agenda and all speakers must adhere to the time requirements set for their presentation. Email oem@binghamton.edu with your needs.
Wi-Fi Access
Guests to Binghamton University should choose welcome2bing in the list of available wireless networks, connect to it, open a browser, enter an email address and click Continue. You are now connected.
welcome2bing is an unencrypted wireless network and is limited in scope, duration and capacity. Any device with Wi-Fi enabled will automatically detect welcome2bing.
Power for displays
The venue has limited power for displays. If you require power you must notify oem@binghamton.edu as early as possible. Power will be made available on a first-come-first-served basis.
